What personally identifiable information does Hot Air collect from me?

Hot Air collects information in several ways from different parts of our web site.

Some personal information is gathered when you register for news-updates and for making a booking or enquiry. During registration, Hot Air asks for your name, email address, zip code, phone number and details related to your travel.

If you contact Hot Air we may keep a record of that correspondence. Hot Air also occasionally asks users to complete surveys that we use for research purposes. Wherever Hot Air collects personal information we make an effort to include a link to this Privacy Policy on that page.

Hot Air uses session cookies  cookies on their site to identify visitors.

Hot Air does collect IP addresses for system administration and to report aggregate information for our own research.



How does Hot Air use my information?

Hot Air's primary goal in collecting personal information is to provide you, the user, with a the requested services from our site and the best possible servcie and ballooning product. 

Hot Air does research on our users' demographics, interests, and behaviour based on the information provided to us upon registration, during a promotion, from our server log files or from surveys. We do this to better understand and serve our users. This research is compiled and analysed on an aggregated basis. Hot Air may share this aggregated data with advertisers or business partners.



Who is collecting information?

When you are on Hot Air's site and are asked for personal information, you are sharing that information with Hot Air alone, unless it is specifically stated otherwise. For example, some Hot Air services, like Hot Air Package bookings, are offered in conjunction with a partner company. In order to provide this co-branded service to you, it may be necessary for us to share your personal information with our partner company - this will only include your name, phone number, accommodation details and other travel arrangements - not credit card details. If you do not want your data to be shared, you should notify us by email and choose not to allow the transfer by not using that particular service.

Promotions that run on Hot Air's site may be sponsored by companies other than Hot Air or may be cosponsored by Hot Air and another company. Some or all data collected during a promotion may be shared with the sponsor who may contact you directly to offer you a special offer. If data will be shared. You can decide not to participate in the promotion if you don't want your data to be shared please unsubscribe or notify us and we will remove you.

Please be aware that Hot Air advertisers or third party web sites that have links on our site may collect personally identifiable information about you. The information practices of those web sites linked to Hot Air are not covered by this privacy statement.



With whom does Hot Air share my information?

As a general rule, Hot Air will not disclose any of your personally identifiable information except when we have your permission or under special circumstances, such as when we believe in good faith that the law requires it or under the circumstances described below. Please see the Terms of Service or Use Agreements for each of our products and services for more detailed information about how your personal information may be shared. The following describes some of the ways that your information may be disclosed.

Business Partners such as tour package partners: Hot Air may disclose your personal information to business partners or sponsors, as per the details of this privacy policy. Some or all data collected during a Hot Air promotion or booking may be shared with another operator with the purpose of providing you the tour that you have booked. Tis may include your emial or phone number for tour contact purposes.

Sponsors and Promotions: Many promotions offer opportunities to request additional information from sponsors. By requesting more information, you give Hot Air permission to transfer your personal information to the sponsor so they can fulfil your request.  Where this is a Facebook competition the privacy temrs will be spelled out when you join the promotion by the Facebook app.   In many instances, only your email address will be shared. If more information will be shared with the sponsor, you will be notified prior to the transfer.

Third Party Data and Data in the Aggregate: Under confidentiality agreements, Hot Air may match user information with third party data. Also, Hot Air discloses aggregated user statistics (for example, 45% of our users are female) in order to describe our services to prospective partners, advertisers, and other third parties, and for other lawful purposes.

Other: Hot Air may also disclose account information in special cases when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating Hot Air's Terms of Service or may be causing injury to or interference with (either intentionally or unintentionally) Hot Air's rights or property, other Hot Air users, or anyone else that could be harmed by such activities. Hot Air may disclose or access account information when we believe in good faith that the law requires it and for administrative and other purposes that we deem necessary to maintain, service, and improve our products and services.



What are my choices regarding collection, use, and distribution of my information?

Hot Air may, from time to time, send you email regarding our products and services. In addition, if you indicated upon registration that you are interested in receiving offers or information from Hot Air and our partners, we may occasionally send you direct mail about products and services that we feel may be of interest to you. Only Hot Air (or agents working on behalf of Hot Air and under confidentiality agreements) will send you these direct mailings and only if you indicated that you do not object to these offers. If you do not want to receive such mailings, simply tell us when you give us your personal information. Or, at any time you can easily notify us that you no longer wish to receive such offers and mailings. You will need your Hot Air booking ID and Password in order to access your Hot Air Account or booking Information.

On some types of Hot Air promotions, we will ask for your email address in order to update you on your score, entries, and status in prize drawings. When you participate in these types of promotions, you automatically receive promotion-related email, unless you choose the no-email option that some promotions offer. Occasionally these promotion-related email messages may include targeted advertisements.

Hot Air does not sell or rent user information to anyone. If you do not wish to allow your data to be shared, you can choose not to use a particular service or not to participate in certain promotions or contests.



What is Hot Air's policy on Online photographs?

Be aware that photos will be taken of you during your hot air balloon flight,  these photos will be uploaded on the same day of travel to our photo sales website at www.hotair.info    These images are then publically availabole on the internet and may be viewed by any other person without a password and people will be able to see that you were ballooning with us.

You may request in advance of travel or on the day of travel to have photos the Hot Air staff have taken,   removed immediatley from any of our record and will will do our best to ensure that no photos are made viewable of you on the web . 

Other passengers may have photos or video of you however and it is not possible for us to control the use of other peoples photos or video records.

Your Hot Air account can be deleted or deactivated, but doing so will result in not being able to access any members-only area of the Hot Air network, including your Hot Air Mail account (if you have one). Please contact [email protected] for further instructions about deleting or deactivating your Hot Air account or details or removing photos please call us or talk with a staff memebr during your day out with us.

Keeping your personal information private is vitally important to us. As with all information, Hot Air will never rent or sell your personal financial or travel-related information. This includes information kept in your Hot Air Portfolio or from any Hot Air communication.

Please note that there are several places on the Hot Air network of Web sites where you can transmit credit card information in order to complete a purchase transaction or for verification purposes. Any time we ask for a credit card number we transmit that credit card number in an encrypted format. We use industry-standard, SSL (secure socket layer) encryption.

Your Hot Air Account Information and Hot Air Profile are password-protected so that you and only you have access to this personal information.

We recommend that you do not divulge your password to anyone. Hot Air will never ask you for your password in an unsolicited phone call or in an unsolicited email. Also remember to sign out of your Hot Air account and close your browser window when you have finished your work. This is to ensure that others cannot access your personal information and correspondence if you share a computer with someone else or are using a computer in a public place like a library or Internet cafe.

As a travel company Hot Air has international sites and users all over the world. When you give Hot Air personal information, that information may be sent electronically to servers outside of the country where you originally entered the information, such as to the Australia, United States or other countries. In addition, that information may be used, stored and processed outside of the country where you entered that information. Whenever Hot Air handles personal information as described above, regardless of where this occurs, Hot Air takes steps to ensure that your information is treated securely and in accordance with the relevant Terms of Service and this Privacy Policy.

Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, Hot Air cannot ensure or warrant the security of any information you transmit to us or from our online products or services, and you do so at your own risk. Once we receive your transmission, we make our best effort to ensure its security on our systems.



What about children's privacy?

Naturally, the safety of children is very important to us. Hot Air will not link to any inappropriate site - should you wish to recommend that Hot Air remove any link from a site. 

Hot Air is a general audience web site.

Children should always ask a parent for permission before sending personal information to anyone online. Hot Air does not share personal information about users under the age of 13 with third parties and we do not sell or rent personal information about any of our users, regardless of age. In addition, Hot Air will not send any direct email offers to users who indicate they are under the age of 13.
